Tips in Preparing and Submitting Applications

Be clear and succinct. The reviewers are interested in the wonderful aspects of your program, BUT their first task is to be sure you meet the ITTPC minimum requirements for certification. Make it easy and clear for them to see and find the documents that support this first. Then you can highlight the aspects you feel passionate about that go above and beyond ITPC guidelines.

Begin with a Program Overview, a clear and complete narrative, including History, Mission, Objectives, Reporting Lines, Sources of Funding, Services, Program Location and Facilities, Training Guidelines, and General Procedures. It would be helpful to include how application and reflection, along with information, are integrated into the training program. Provide evidence that the program is actually working, not just a theoretical model

Explain how much of the training is to be tutor-trainer supervised, interactive, live, and real-time as opposed to how much can be individual (on the computer, via video, etc. done by the student alone). Six hours minimum for level I, four hours minimum for level 2, two hours minimum for level 3.

Proofread carefully to be sure your packet is presented in a professional manner. The application should be neat and well-organized.

Do not scan pages from books that have a copyright. Instead list the ISBN number for texts used.

Cite the name, author, publisher, etc for copyrighted information including video and computer-generated activities used in training.

Prove to the evaluators that you have spent the training hours indicated, have competently covered the topics, and have utilized a variety of methods in completing the training.

Be sure the information in the summary chart is complete for each level you are applying for and includes the topics, hours, mode, and person presenting. (here is the opportunity to provide the reviewers with the details that describe what topics are being covered and modes being used during each hour of the training).

Include training agendas for specific sessions as well as an overview.

Avoid counting field trips, parties, even assessments as part of the minimum required training hours.
- Work logs don't necessarily show number of hours tutored to meet the 25 hours of tutoring. Some programs have tutors doing other jobs. Please document how you know that the tutor you certify has TUTORED at least 25 hours before being certified. If you use a tracking system and want to include a copy or state how you track. we certify your program, but we want to be sure you know that each tutor has tutored 25 hours BEFORE you certify them. You just need to document how you know that each tutor has met that requirement.
- Along with sample assessments and surveys, please add results. Results demonstrate that the program is indeed operating.
- For Level III, demonstrate clearly how the material has been deepened or expanded with Levels I and II. Include any special projects in Level III.
- Explain what method of instruction was utilized and what evaluation was used to ascertain that the tutors did, indeed, learn it.
- Toot your own horn. Although evaluators look for “proven” documentation, the standard training materials common to nearly all ITPC-certified programs, they also look for original materials which reflect a particular culture and learning environment. Again, feel free to highlight the aspects you feel passionate about that may go above and beyond ITPC guidelines.
